How we handle business contact details

If we emailed you about our services and you had never contacted us, this page explains how we found you and what to do about it. It sits alongside our main privacy policy, which covers everyone who uses this website.
Who we are
Byter Ltd is the data controller. We are registered in England and Wales, company number 11372197, and our registered office is 33 Cavendish Square, London W1G 0PW. We trade as Byter, a digital marketing agency working with hospitality businesses.
Where we got your details
We did not get them from you. We obtained them from Apollo.io, a commercial business-contact database that compiles professional information about people in business roles. We say so in the first email we send rather than waiting to be asked, because you have a right to know how we found you.
Before contacting anyone we also check, against the free Companies House register, that the business they work for is a registered limited company, LLP or Scottish partnership, and we keep the company number as part of that record. We do not email sole traders or unincorporated partnerships.
What we hold
Business contact information only:
- Your name
- Your work email address
- Your job title
- The name, website domain and general location of the business you work for
We do not hold your home address, your personal phone number, any financial information, or any special category data.
Why, and our lawful basis
We use it to introduce a paid-advertising service to senior people at hospitality businesses, and to open a conversation where there is interest.
Our lawful basis is legitimate interests under Article 6(1)(f) UK GDPR. Our interest is finding clients for a service we already deliver to comparable businesses. We have carried out and documented a Legitimate Interests Assessment weighing that against your rights, and you can ask us for a summary of it.
We send at most six emails over six months, roughly one a month, and then we stop whether you reply or not.
What we do not do
- We do not use tracking pixels, so we do not know whether you opened an email
- We do not use click tracking or link shorteners
- We do not build a profile of you or score you automatically
- We do not sell, rent or share your details with anyone else for their own purposes
- We do not make automated decisions that produce legal or similarly significant effects
How long we keep it
We keep prospect records for up to 24 months after we last contact you, then delete or anonymise them — unless you become a client or make an enquiry, in which case our normal client retention applies.
If you ask us to stop, we keep a minimal record of your email address and domain indefinitely on a suppression list. That is deliberate: it is the only reliable way to guarantee we never contact you again, including if your details reappear in a future refresh of the source database. That list is used for nothing else.
How to stop us contacting you
Reply to any email from us and say so, or email info@byter.com. You do not need to give a reason and we will not ask for one. We will stop, and add you to the suppression list described above.
Your other rights
You can ask for a copy of what we hold, ask us to correct or delete it, object to processing based on legitimate interests, ask us to restrict it, or ask for it in a portable format. Email info@byter.com and we will respond within one calendar month.
If you are unhappy with how we handled it you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. You do not have to come to us first.
